Vacancy approval

All vacancies must be approved before being advertised in accordance with the Vacancy Management Procedure. The requirement to obtain authorisation for a post prior to the process of recruitment commencing applies to all categories of staff, regardless of the source of funding.

Where a post is to be advertised on a fixed-term basis, the objective reason for the post being offered on a fixed term basis must be stated.

Approval for new posts and replacement posts

To create a vacancy and request approval for all new and direct replacement posts, hiring managers must:

Approval for changes to existing posts

Managers are required to notify People and OD Operations of all authorised posts and in addition, any contract changes, such as:

  • Contract extension
  • Change to FTE
  • Funding code change
  • Honorarium/market supplement
  • Other contractual or post changes
