What chemicals need to be included?
MANDATORY:
Chemicals which must be uploaded to your LabCup inventory include all hazardous chemicals and any chemicals which must be declared under on of the annual compliance returns:
- All hazardous chemicals (any chemical which displays a hazardous pictogram)
- Controlled drugs –
- Schedule 1
- Schedules 2, 3 and 4 (parts I and II)
- Guidance on Safety Services pages - controlled drugs
- Schedule 5 -
- Toxins only (bottom of page)
- Explosives and desensitised explosives -

OPTIONAL:
Non-hazardous chemicals which are not included on the annual compliance returns can be included in your inventory for completeness, but it is not a requirement.
What if you cannot find a chemical that is listed in your inventory?
The most probable cause of missing inventory are:
- Someone has used and not replaced the item in the correct storage location.
- Someone has moved the item to a different location.
- Somone has depleted the stock and discarded the item without correctly removing it from the system.
Please check with all lab group members to see if the item has been misplaced or discarded.
- If the item has been moved update the system with the new storage location. See Guidance - How to move a chemicals location
- ONLY remove items from the LabCup inventory if you have confirmation that the item has been disposed of. See Guidance - Removing a chemical from the inventory
Who can be in a group?
Accessing the LabCup software requires a log in. This has been set up to use your University username and password. Therefore anyone with a University of Manchester username can be added to a group.
You can belong to more than one group for example if you are a technician working for several Academic PI groups you can belong to all of them.
Can you be in more than one group?
Yes, people who work in more than one lab group can be added as a member to each of them.
Who is responsible for making sure the group’s data is accurate?
Ultimately the PI is responsible for ensuring that the inventory data for their group is accurate, in the same way that they currently return data to the Faculty about any chemical weapon or narcotic precursor chemicals they may be using in the lab. It is expected that they will delegate some of the duties, but the responsibility remains with them. Spot checks will be conducted from time to time, as part of general health and safety checks, to ensure that groups are keeping their inventory data current.
Who can be a group administrator?
Each PI will automatically be assigned as the administrator for their own lab group. In order for administration rights to be allocated to an individual they must have completed the Data Protection & Cyber Security online training course. For the day to day running of the labs this duty may be delegated to a member of the lab group by the PI.
The Data Protection & Cyber Security online training course (LAOD152) is mandatory for all staff with an active IT account. The aim of the course is to provide a basic understanding of the Data Protection Act 1998 so that we can exercise our responsibility for protecting the rights and privacy of individuals when handling personal data.
It is not mandatory for undergraduate or postgraduate students to complete the training, therefore under normal circumstances students are not permitted to be granted administration rights for lab groups within LabCup.

I have moved PI group – how do I change this on LabCup?
Anyone with admin access for your new PI group should be able to add you with the relevant access level.
If there is no one in the group itself who is able to do this, please contact the TOM for the area, who should be able to add you.
Please also remember to ask for your access to your previous group to be removed.
If you are the listed responsible person for chemicals or assets you will need to arrange to transfer these to a remaining group member – or give their name to your TOM, who can make the change.
Will there be a hazardous chemical disposal amnesty before LabCup is rolled out to our lab?
Yes, however you will still need to provide the normal disposal information (safety data sheet and FBMH disposal form) when bringing your chemicals to Stopford waste stores – information which is often easier to get by first scanning the chemical into LabCup. Groups that aren’t able to use Stopford waste stores can book in one-off collections by waste contractors by contacting their Technical Operations Manager.
For non-commercial chemicals, how are these listed, as there will be no safety data sheet?
Please see the walkthrough ‘Listing a chemical without a commercial label’, which details how to create an entry for a chemical or mixture that you may have made yourself. LabCup then allows you to define your own hazard pictograms and statements for the chemical, as well as list the individual components, in the case of a mixture.
Why do deleted chemicals still appear in the inventory?
The LabCup inventory may need to be refreshed in order to reflect recent changes, especially deleted chemicals.
Simply log out of LabCup, the inventory will be refreshed when you log back in.
How do we handle gas cylinders?
LabCup is yet to be set up for items obtained through stores
Following LabCup implementation across the Faculty, including Stores, the following will happen:
- Users in the biomedical corridor obtaining their gas cylinders from Stores: all cylinders will be barcoded and scanned at Stores, the cylinder will be transferred into your group’s inventory when you collect it. It will be transferred back to Stores’ inventory when the cylinder is returned.
- For users who do not use Stores, gas cylinders can be barcoded and scanned into LabCup as you would for chemicals.
Who should I contact for web support / IT support?
If you have issues with LabCup please contact your local TOM. If they cannot solve the problem they will be able to direct your enquiries to the appropriate person.
You will not be able to access LabCup until your lab group has been formally trained. Your local TOM will not be able to give you access ahead of time.
How will Stores work?
The amount of items passing through Stores is enormous. Currently all items purchased from stores will need to be entered onto LabCup by the recipient lab group. We are working on ways to streamline the process so this may change as the implementation of LabCup progresses.
The barcode won't scan
Users have experienced problems with LabCup recognising barcode lables during scanning. Whilst it is normal practice to scan barcodes across the middle, please try scanning the barcode right at the top. Users have found this is more successful.

How do I get more barcode labels or location labels?
Consumables will be provided during your initial laboratory set-up.
