Payroll deadlines are changing

From March 2021 onwards the monthly deadlines for submitting HR and Payroll paperwork and uploading casual worker timesheets are being brought forward

The March 2021 deadline is moving from Monday, 15 March to Thursday, 11 March. 

These new deadlines apply to new starter paperwork, approval of casual worker timesheets, submission of adjustments for Teaching Assistants and other post and contract management (PCM) changes. 

Managers, Faculty Operations teams and Research Support Offices, and other departmental administrators should familiarise themselves with the updated deadlines and ensure information is provided on time.

Information for new staff joining our University has been updated to reflect that they need to submit their new starter paperwork by the 10th of the month to be included in the next payrun. If you have a member of staff who has been sent an offer letter previously please liaise with them to ensure they have submitted their paperwork in a timely way.

You must also notify HR Services of any leavers who will need their pay reduced that month by the deadline, even if the individual’s leaving date falls after the deadline. 

A reminder that paperwork for new starters, casuals workers and other post and contract management (PCM) changes should be submitted to hrservices@manchester.ac.uk; paperwork for fees and expenses should be sent to feesandexpenses@manchester.ac.uk.

Bringing forward this deadline will allow more protected time for HR Services (which includes Payroll) to process changes, and carry out necessary validations, due diligence and quality assurance (QA) before the payrun takes place. The time we need to carry out these activities has increased due to a range of factors, including:

  • the implementation of Real Time Information (RTI) reporting to HMRC;
  • further QA activities being implemented in response to independent audits;
  • a larger proportion of the University's staff now being on the end-of-month than mid-month payrun than there was when HR Services was launched in 2014.
