Changes to purchasing food and drink on cost codes within Campus Cafés

The UniCafé and Hospitality teams are making changes to the way food and drink is purchased within cafés and restaurants on campus using account and project codes, with the aim to make it easier and more sustainable for all.
Do you purchase food and drink on internal codes within our Campus Cafés?
From March 2026, the process for purchasing food and drink which is charged to an internal account or project code will go paperless. You will no longer be able to fill out a paper form within the café or restaurant and instead will need to ensure any codes are linked to a staff card.
Colleagues will need to register their staff card and budget code on the system ready for use. If you or your team have more than one code assigned to you which are used regularly, multiple codes can be assigned to one card. Team members in the café or restaurant then will ask which code to charge to at the point of ordering.
Monies which have been added to cards for use for personal use are unaffected by this update.
To register your staff card with your budget or project code, please complete the form below with all your details, including details of the budget holder. A separate form must be completed for each code.
If your card is already activated and in use with an account code, please still complete a form to ensure all details are captured for the new system.
