Security guidance and additional features for Zoom video conferencing

Gadgets

Zoom is a fantastic tool and is now used heavily by University staff and students. As with all online working platforms however, it is essential that you use the available security features to protect your meetings and discussions. This is especially the case if your meeting contains any form of restricted or confidential information.

There is now an updated guide on our Media Services' Zoom website providing instructions on this:

There are a number of options, but the three main recommendations are:

  • Use a randomly generated link for each meeting – do not use your Personal Meeting ID (PMI).
  • Password protect all meetings and send the password separately to the meeting link.
  • Have 'waiting room' enabled at all times so that participants have to be admitted to a meeting and cannot just join by 'clicking the link'.

We now have over 10,000 Zoom users here at the University so safety and security is of paramount importance.

Cloud recording is also now available to our Zoom users, enabling meetings to be recorded to the cloud and distributed. The guide also contains information about how this can be done securely.
