Making an offer of appointment

Following the interview/selection process, once the preferred candidate has been chosen, new appointment pro-forma including essential information required to confirm the appointment process must be completed. This will have been provided to the recruiting manager by HR Services at the outset of the process.

If you are unsure about what form to use and what information is required you should consult HR Services.
The form must be completed fully if an offer is to be made within the agreed service levels and sent to (with the exception of R-coded appointments in Science & Engineering which should be sent to your Research Support Office in the first instance, who will check and send them on to HR).

Once fully completed forms have been received by HR Services, an offer letter will be sent to the successful candidate. All offers will state that they are subject to satisfactory references and completion of relevant employment checks.

The following documents will also be sent:

• Contract of employment
• Rehabilitation of Offenders form and guidance
• DBS disclosure form (if appropriate)
• Pre employment health screening questionnaire
• Right to Work acceptable documentation list
• Confirmation of appointment form (C1)
• Bank details form
• HMRC New Starter Checklist
• Pensions information
• Support for disabled staff information
• New staff induction & information booklet

New employees must also be advised of their induction programme, along with any support services available at the University.

Any further checks required following assessment of the new employee’s occupational health questionnaire, will be followed up directly by Occupational Health.

Details of relocation expenses, where appropriate, will be included in the appointment letter.
