1. Purpose

This guidance outlines the appropriate use of the University’s news systems to publish and display news content on University websites and StaffNet, using structured data feeds. It supports consistent, strategic communication while distinguishing between internal and external audiences.

2. Scope

This guidance applies to all departments, Faculties, and teams wishing to display news content—either externally on public University websites or internally via StaffNet microsites—using data feeds from the University’s two central news systems:

Presspage – used for external-facing news on external-facing University websites.

News Admin System (in-house system) – used for internal news displayed on StaffNet microsites.

3. Objectives and benefits

  • Maintain consistency and accuracy in how news is presented across all digital channels.
  • Minimise duplication and manual updates across sites.
  • Improve user experience with relevant, timely news content.
  • Reinforce institutional messages across both internal and external platforms.

4. System use

News must be created and managed in the appropriate system based on its intended audience:

  • Use PressPage for external news (e.g. public events, research announcements, university rankings).
  • Use the bespoke News admin system for internal news (e.g. staff updates, internal initiatives, operational changes).

News content should be displayed via approved data feeds from PressPage or the News Admins system, rather than manually copied into web pages.

Feeds can be filtered by tag, category, or audience to deliver tailored content across different sections.

5. Access and governance

  • Access to each system is regulated to ensure content quality and relevance:
  • Requests for access or training should be directed to the relevant team.

6. Content guidelines

  • News items should be relevant, timely, and written with the appropriate audience in mind.
  • All content must adhere to University editorial standards, including tone, accessibility, and image use.
  • Avoid duplicating content across both systems unless specifically adapted for each context.
  • Internal news should not be published externally unless reviewed and approved by Media Relations.

7. Responsibilities

  • Content owners are responsible for creating and maintaining accurate, properly tagged news entries.
  • Digital teams are responsible for implementing and maintaining feed integrations on web pages and intranet sections.
  • The central University Marketing team provides technical support on the use of data feeds.
