The survey

The survey is open to all staff at the University, with the exception of:

  • Staff seconded from other organisations
  • Casual and temporary staff
  • Sessional staff

Staff on parental leave and other forms of long term leave are entitled to take part in the survey.

Managers are encouraged to allow staff to complete the survey during the working day. However, if anyone wishes to take the survey outside of work, this is permitted.

The survey is available in the following formats:

  • Online
  • Paper
  • Telephone (direct to Capita)
  • Tablets and smartphones

Staff with access to email

For staff with access to email, the expected method of completion is online, via an email sent by Capita. The email contains a unique password, and a link to the Capita website where the survey is hosted. It's possible to pause part way through the survey and return to it, without having to start again.

Reminder emails will be sent to staff who have not yet completed the survey, throughout the duration of the survey period.

Staff with no access to email

For staff without access to email, paper copies can be completed at scheduled meetings, where a ballot box will be provided. To request a paper copy please contact Capita on FREEPHONE 0800 587 3115.

Staff with more than one role at the University

Staff who have more than one role at the University may wonder how best to respond to questions on topics such as their line manager and team. In this case, their answers should relate to the role in which they spend the most time, based on their contractual hours. If their time is split equally between roles, it's up to them to decide how they answer the questions. 

If this is not satisfactory and a member of staff wishes to answer in relation to both departments, they should contact Capita on FREEPHONE 0800 587 3115.

Confidentiality

Capita – the external consultants handling the survey – have used existing data to ensure that the respondent's area of work is correctly populated. This means that staff responses correlate to the correct area of the University, and any action plans can be tailored accordingly. It does not mean, however, that respondents can be identified by their responses.

All responses given in the survey are anonymous and handled confidentially by Capita. This of course includes responses to questions about things like race and sexual orientation.

  • At no point during the survey period is anyone at the University able to view individual responses. 
  • The resulting data provided to the University is anonymous and amalgamated for reporting purposes.
  • Responses that answer questions relating to equality, diversity and inclusion cannot be linked to the individual.

If fewer than ten people in a team complete the survey, reports will not be provided. Instead, the results will be amalgamated into a higher level report.
