Important changes to Egencia booking fees

The Central Procurement Office has been working with Egencia to provide a simple and transparent approach to pricing

The following booking fees have been removed and what you see is what you pay!

  • Online and offline transaction fees for booking air, rail and hotels (including bill back)
  • Charges for refunds
  • Charges for using the Out of Hours service

However, you will still be charged for the following:

  • Cancellation/modification charges
    - Changes to air bookings(eg times/destination) – these are charged by the airline and will be invoiced back to the University using the original charge code
    - Changes to hotel bookings – some hotels allow for same day cancellation but others are non-refundable.  Please ensure that you always read the rates associated with hotel bookings
  • Rail tickets collected at the station (booking seven days in advance allows tickets to be delivered to your office FOC) - £1.40 will be added to the cost of your ticket
  • Courier fees/special delivery  for tickets
  • Visas – this includes the cost of the visa and £30 administration fee
  • Group bookings – this is capped at 8% of the cost of the booking and is an additional service provided by Egencia.  However the use of Egencia for group travel is not compulsory .

This will come into effect for bookings made after 1 January 2015. Fees will still be charged for bookings made prior to this date.

Please contact your local School Travel Administrator in the first instance for any Egencia queries and if you need access to the Egencia system please complete the new profile form and email to your local School Travel Administrator.
