Arranging cover

The Insurance Office requires the following information for all vehicles:

  • The vehicle type;
  • Make and model;
  • Registration mark;
  • Contact details for the person responsible for the vehicle;
  • An account code to which the insurance premium can be charged.

Newly acquired vehicles

The information should be provided before the vehicle is collected on behalf of the University.

If any of the information is not available before the vehicle is collected please let the Insurance Office have as much information as is available.  The remaining information should be provided as soon as practicable thereafter, and in any event within one week of collecting the vehicle.

Replacement vehicles and other changes

Let the Insurance Office have the changed details as soon as they are available, and in any event within a week of the change occurring.

Temporary cover

Temporary cover can be arranged for hired-in vehicles if it is not practicable to arrange cover through the hire company.  Cover is on the same basis as for newly acquired vehicles but the following information is also required:

  • The period of cover (start and end dates);
  • The name of the company from which the vehicle is being hired;
  • The reason it is not practicable to arrange cover through the hire company.

Cover for vehicles hired abroad must be arranged locally.

Renewal

Cover will be renewed annually for vehicles owned by, or leased to, the University; unless the Insurance Office is advised that the insurance is no longer required.

Temporary cover will lapse at the specified end date, unless the Insurance Office is advised of a change.

Insurance certificates

The Insurance Office can provide a certificate of insurance for each vehicle covered by the motor vehicle insurance policy.
