What has changed?

The introduction of Campus Solutions 9.2, Microsoft Dynamics, the new My Manchester – and most importantly the integration between them – has enabled new streamlined and standardised processes that were introduced for admissions from October 2021.

The scope of the admissions release included:

  • Applicant review, decision and applicant response
  • Widening participation, indicators and access programmes
  • Applicant mitigating circumstances and additional consideration
  • Professional courses
  • Applicant payments, including deposits
  • Tuition fee assessment
  • Right to Study, Confirmation of Acceptance to Study (CAS) and Academic Technology Approval Scheme (ATAS)
  • Confirmation and Clearing
  • Pre-sessional courses
  • Agent submitted application management
  • Postgraduate research admissions evaluation

What has changed for applicants?

Changes included:

  • Improved dynamic application process for non-UCAS applicants: applicants will only be asked for information relevant to the course they are applying to, making the application process more straightforward for them. Applicants will be automatically informed when their referee supplies a reference.  
  • Streamlined Confirmation of Acceptance to Study (CAS) process through My Manchester removes applicant stress and reduces enquiries.
  • Ability for applicants to upload documents during and after application submission which feed directly into their applicant record, rather than sending potentially sensitive documents via email.
  • Improvements to the tuition fee assessment process: dynamic tuition fee questionnaire makes it easier for applicants to provide the information relevant to their circumstances.
  • Integrated approach to pre-sessional English language admissions: suitable options available to applicants in My Manchester post-offer; payment to secure place; no separate application form.
  • Academic registration opens sooner: will be possible from 28 days prior to the start of the course if all conditions have been met.
  • Automation of the minors’ process through CRM ensures minors cases are dealt with in a timely and standardised way.
  • Capture of mitigating circumstances pre-application and reminders at Confirmation ensures that information is not overlooked.

What will change for staff?

Changes included:

  • Improved dynamic application process - the use of templates means that applicants are only asked to supply information that is relevant to their course, reducing the volume of enquiries and irrelevant documents/ information being provided.
  • Application documents supplied by applicants are uploaded directly and held in Campus Solutions against the application, removing the need for staff to upload emailed documents
  • Standardisation of offer making, improves data quality and reporting
  • Automated communications save time and remove reliance on email. These include:
    • Communications on receipt of application – acknowledgement, reference request (sent to referee which they upload directly via referee portal)
    • Admissions Process communications - missing documentation, evidence of meeting offer conditions
    • Decision Communications - offer, withdrawal, rejection and deferral communications, and offer deadline chase
    • Transactional communications - tuition fee assessment, course unit selection for Study Abroad / exchange, criminal convictions, right to study, CAS and related immigration communications
  • Import of verified test results from IELTS and UCAT, easy access to those submitted by applicants for verification, and the ability to record other test results, all accessible in the same place within Campus Solutions.
  • Cascade of taught applications between Schools/admissions teams and to academics through Campus Solutions - replaces manual handling of applications and/or attachments sent via email. For PGR applications academics will access all information via My Manchester.
  • Tracking identifiers, such as WP, MAP, RO will ensure status is captured in offer making and effective tracking of applicants and populations
  • Streamlined Right to Study, ATAS and CAS process will simplify processes and reduce huge volumes of CAS-related queries across the institution
