Meeting Room Booking System - Faculty Guidance

All Faculty of Science and Engineering meeting rooms should be booked using Resource Booker.

To book a meeting room log on to Resource Booker using your IT username and password and navigate to the FSE Meeting Room tile. Use the Search Tool or room listing by Department / Institute to find a suitable room. Requirements including IT provision, room layout and capacity, for each room can be found using the information button.

If you are looking for a large capacity meeting room (more than 60) there are a rooms across the Faculty that can be joined together:

Resource Booker currently doesn’t have the functionality for this search. These rooms will need to be requested as individual bookings and room set up arranged directly with the Department / Institute (contact details below).

You might receive a confirmation email from the Department following your booking. Please read this information carefully as it may contain important information on how to access the meeting room.

Please be aware that Resource Booker has replaced Outlook calendars for all meeting room bookings.
Centrally timetabled rooms should be booked via Central Teaching Spaces

Questions and Answers

Why have the Faculty implemented Resource Booker?

Using Resource Booker alongside collaborative timetabling in FSE (and soon to be in Humanities and BMH) will allow the Faculty and the University to plan our estate use more efficiently whilst informing our longer term planning for investments or changes needed to improve the staff and student experience.

How do I access my bookings if there is a problem with Resource Booker?

Resource Booker is a cloud based system, meaning even if is out of service for new bookings you can still view any bookings made via the My Bookings tab. The only time that you would be unable to view Resource Booker is if you could not access the the University IT system, for example if Two Factor Identification wasn’t working.

Who can I contact if I am having issues accessing Resource Booker?

All University staff have access to Resource Booker using their University Username and Password. If you are having problems logging on you can contact resourcebooker@manchester.ac.uk

I am trying to book a meeting room in a Department but there appears to be a problem?

You can contact one of the Approvers for the room you are trying.

I have received an automated email confirming my booking but not yet received a follow up email?

If you have received an automated email confirming your booking but not yet received a follow up confirmation email from the department telling me how to access the room, please contact the Department Approver directly

I have a question about the room I want to book who do I contact?

You can contact an Approver within the Department who will be able to answer your question.

How do I know if I can have catering in the meeting room?

For each meeting room there is an information button which provides all of the information you will require for the room, including catering allowance, capacity, IT equipment. If catering is allowed it would be your responsibility to order the catering and make the necessary arrangements for it to be collected in a timely manner.

I want to make a reoccurring booking, can I do this on Resource Booker?

Unfortunately the current version of Resource Booker doesn’t provide this functionality. Reoccurring bookings can be made in one of the following ways:

Bookings can be made individually on Resource Booker.
Contact the meeting room Approver directly with your request and they will be able to assist you with this.

Can I make a booking for the next academic year?

Resource Booker is linked the University’s Timetabling System, Syllabus + and based on the academic calendar. The timetabling system for the next academic year usually opens in January for the academic year ahead. If you wish to make an important booking for the next academic year you can contact the Department or Institute directly and discuss this with them.

Does Resource Booker link to Outlook so that my bookings show in my calendar?

Resource Booker does not link to Outlook. Any bookings you make will need to be entered into your calendar. Future upgrades to Resource Booker plan to have this functionality. Resource Booker does link with University of Manchester Publish timetables which all University staff can subscribe to www.timetables.manchester.ac.uk Once subscribed and synced to your calendar this will be updated as regularly as your calendar refreshes. Whilst you will still need to attach to the room to your meeting on Outlook, the Publish calendar can overlap with your calendar to show all your bookings.
