From 1 May 2018 you'll notice changes to the way you log into the MyView portal, coming into effect as part of an overall upgrade.  To provide stronger security and to protect your personal information 2-factor security will be added to MyView and will require you to use Duo - the University's 2-factor authentication service - to log in. 

You'll be prompted to enter your University username and password, and will then be asked to authenticate using the University's 2-factor authentication - Duo.  You will then be taken directly into MyView.  If you have not yet enrolled in Duo, please visit Duo for help in choosing your 2-factor device.  You can then register your device in the IT Account Manager using the 2-factor (Duo) tab or, should you choose a Duo key fob, register it in person at the IT Support Center Walk-up Desk in the Kilburn Building (no 39 on the campus map).

 

Log into MyView to:

  • view your payslips, expenses slips and P60s
  • update your personal details
  • update your equality information

 

Information held in the Human Resources Information System and viewed through MyView is subject to data protection law, and as such will be treated responsibly and held securely. Likewise, it is important that once you are registered to access MyView, you do so responsibly. This includes not sharing your password or log in details with anyone. Salary payments are made monthly by bank credit transfer (unless your contract says differently).

  • Month-end salary payments will be received into your bank on the weekday before the last working day of the month.
  • Mid-month salary payments will be received into your bank on the 15th of each month.

 

Social responsibility is an important part of our University culture, and to help reduce our environmental impact, the University began issuing all pay advice online in 2010.

What is MyView?

As part of your recruitment process, you will have provided HR Services with your personal and bank account details.  This information will be used to set you up on the University's HR and Payroll System.  MyView is the employee and manager self-service portal for this system.

I don't have a University login - do I need this to access MyView?

Yes, you do need a University login to access Myview.  All workers and employees have a University username and most also have an email account.  If you don't already have your username, then you'll need to use a University PC to activate your account.  Please contact the IT Support Centre for help with setting this up:

I can't log in - what should I do?

MyView requires you to use Duo - the University's 2-factor authentication service - to log in.  Further details about Duo can be found on the Duo web pages.

Why has the University upgraded MyView?

Upgrading has allowed us to take advantage of the more modern look and increased user-friendliness of the current version of MyView.  This change also gives us the ability to develop employee and manager self-service processes that were unavailable in the original MyView.

 

Another important factor in the upgrade was the opportunity to improve security by utilising the University's preferred 2-factor authentication service - Duo.  Further details about Duo can be found on the Duo web pages.

Why should I use MyView?

If you are a worker or employee, then you will receive electronic payslips via MyView along with any expenses slips and your annual P60 document.

You can also view and update some personal information, such as:

  • Bank details
  • Home address
  • Equality Information
  • Emergency contact or next of kin information

If you are a line manager, then you will be able to view limited details about members of your team.

What about my Passphrase?

Following the launch of the new, upgraded MyView, you will use the University’s preferred 2-factor authentication service – Duo – in addition to your normal university username and password.  This means that you will no longer need to use your passphrase.

If you are improving security, does this mean that my data was not secure in MyView?

Your data was and is secure in MyView.  Cyber security is a high priority for the University, to keep both you and your information secure, and getting the right technology in place to help with this is essential.  This is why the University is replacing its original preferred step-up authentication CAS with the new 2-factor authentication service – Duo.  Further details about Duo can be found on the Duo web pages.

The data you hold about me in MyView is not correct - what should I do?

Please contact HR Services to discuss this.  Please note we may ask you to provide additional documentation or proof of identity.

The list of members of my team is not correct/someone is missing - what should I do?

Please contact HR Services via the MyView email - MyView - with details of your issue.

 

When contacting us, it is helpful to include the following information for both yourself and your team members:

  • Employee number
  • Employee name
  • Post number (if you have it)
  • Post title
  • Organisational structure (ie Faculty/School/Department)

 

Please remember that you should not include any sensitive information relating to staff members - such as date of birth - in emails

What can my line manager see about their team?

Line managers will be able to see the following information about members of their team:

  • title, forename, surname and "known as" name (if it is in use)
  • employee number
  • email address
  • work phone number
  • current post title
  • current post start date

In addition line managers will be able to see the post title of any vacany in their team.

My pay is not correct/doesn't look right - who can I talk to?

I still want to receive paper payslips - what should I do?

Social responsibility is an important part of our University culture, and to help reduce our environmental impact, the University began issuing all pay advice online in 2010.  Pay advice includes payslips, expenses slips and P60s.

If you do not have access to a computer or other electronic device (such as a laptop, tablet or mobile phone) then please contact HR Services to discuss the possibility of receiving a paper payslip.  Please note that if you do request this service we may ask your line manager to verify that you do not have access to electronic resources on site.

Some limited groups of staff, by prior agreement, will still receive paper payslips if they wish, as they do not have access to electronic resources on site.  However, even if you receive a paper payslip you will still be able to access your payslips online if you so choose.

Will banks and building societies accept a print off of my online payslips?

Yes - most banks and building societies will accept self-printed pay advice.  However, if you do encounter any difficulties please contact HR Services:

I don't have a University desktop PC or laptop - can I still access MyView?

Yes. MyView is accessible via your smartphone, personal computer or laptop.

If you don’t have access to a PC or laptop in your day-to-day role and want to access MyView on campus, you should discuss this with your line manager in the first instance. 

The University also has a number of PC clusters (for staff and students). Details of the clusters and their availability can be found on the PC availability on campus web pages.

Can I access MyView from home or using a mobile device?

Yes - use the link on Staffnet and log in as normal.  You'll be prompted to enter your username and password, and will then be asked to authenticate using the University's 2-factor authentication - Duo.
