What's changing about the recruitment process?

We’re making improvements to our recruitment system, to help make our whole recruitment process quicker, easier and more efficient.

Current process

Jobtrain is the system we currently use to track vacancies and progress candidates through the application process. At the moment the recruitment process relies on a paper PCM form and manual input from colleagues in People and OD, which we know can make recruitment processes time-consuming and confusing.

What's changing?

We're changing how you create a vacancy and send it for approval, for all new and replacement posts only. Any changes you need to make to existing posts, please continue to follow the current process

Our improved process introduces a new way to create and complete approvals, still using Jobtrain.

By automating more of our recruitment processes we will shorten the recruitment timeline, make it easier to shortlist candidates and administer their interviews and be able to provide automatic offer letters and pre-employment information to candidates before they join us.

New way of working: a summary

From 21 November 2022, everyone will need to follow a new process:

  • You no longer need to complete paper Post and Contract Management (PCM) forms for all recruitment activity for advertised and non-advertised direct/replacement vacancies.
  • A new PCM for changes to existing roles (sections 2 & 3 only) is now available for you to use (find guidance here on how to complete it).
  • Start using Jobtrain when you need to recruit create a vacancy and send for approval (for advertised and non-advertised direct/replacement vacancies).
    • Create, save and then submit your vacancy to agreed approvers that are part of the existing vacancy approval matrix.
    • Use Jobtrain to track where your vacancy is up to in the approval process.
  • Approvers will now receive an automatic email notification from Jobtrain with a direct link in it to complete the approval process.
  • Once approved, the recruitment team will receive an automatic notification and will contact you to get the ball rolling, in the usual way.
